Privacy policy
Last updated October 15, 2026
Effective October 14, 2026. This policy explains what information Take a Tote collects, why, who we share it with, and the choices you have. Take a Tote is operated by Book a Tote LLC of Lexington, Kentucky ("we", "us"). You can reach us at info@bookatote.com or (859) 800-5715. # What we collect When you book totes we collect your name, email address and mobile number; the delivery address and the pickup address; any access notes you give us, such as a gate code or which door to use; whether you chose contactless service; and the package, dates and supplies you chose. When you sign your rental agreement we keep your typed name, the time you signed, the internet address (IP address) and browser type you used, the exact agreement you were shown, and the exact wording of the automatic-renewal consent you checked. When you pay, your card details go straight to our payment processor, Stripe. We never see or store your full card number. We keep Stripe's reference to your card, so we can charge it only for the amounts described in your rental agreement, and a record of each charge and refund. When our driver delivers or picks up your totes, the driver takes a photo as proof of the drop-off and the condition of the totes. A photo may show your doorstep, porch or the outside of your home. We keep these photos in our own system. Your rental agreement says the driver takes these photos. If you ask for a quote, use the contact form, check whether we deliver to a ZIP code, or give your address when you are outside our delivery area, we collect the details you type (such as your name, email, phone, address, ZIP code and message) so we can answer you. If you are a real estate agent using our agent program, we also collect your name, email, mobile number, license number, brokerage and logo, and the card you save for gifts (held by Stripe). We keep a record of the clients you send to us. We keep a record of the emails and text messages we send you about your booking. # Text messages We send booking messages by email. We send text messages only if you tick the box on the booking page that asks for them, and only about your booking: confirmations, reminders, "your driver is on the way", and warnings before any extra-week or buy-out charge described in your rental agreement. We do not send marketing texts. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. Consent to texts is not required to book. We do not send texts between 8 pm and 8 am Eastern time, except the driver's "on my way" message on the day of your delivery or pickup. We keep a record of your consent (the exact words you saw and the time you agreed) and of any STOP reply. We do not share mobile numbers or text-message consent with third parties or affiliates for their marketing purposes. # How we use your information We use your information to deliver and pick up your totes, plan our driver's route, charge your card for the amounts you agreed to, send you confirmations, reminders and receipts, handle changes, cancellations, returns and disputes, keep our books and pay our taxes, answer your questions, protect against fraud and misuse, improve our website and service, and meet legal requirements. We do not sell your personal information. # Who we share it with We share information only with the people and companies that help us run the service, and only what they need. We describe them by what they do; we will tell you which company it is if you ask us: - A payment processor, which processes card payments. - Database and website hosting providers. - An email provider and a text-message provider, which send our messages. - A mapping provider, which helps us look up and measure delivery addresses. - Analytics and advertising providers, if switched on (see Cookies and analytics below). - An accounting system, which receives your name, the booking number and the amounts of charges and refunds. - Our driver, who sees your name, phone number, address, access notes and the stop details needed to deliver and pick up. - If you booked through or were gifted a package by a real estate agent, that agent, who sees your name, the package, the dates and the booking status, but not your address, phone number or amounts. - Our professional advisers, and authorities when the law requires. We use an artificial intelligence service to help write articles for our blog. It is given only our own price list and facts about our service. It is never given customer information. # Cookies and analytics Our booking pages do not need you to sign in. We set one cookie when you open a link from a real estate agent: a cookie named tat_agent that lasts 60 days, so that the agent's discount stays with you while you book. If analytics are switched on, our public pages (the home page, booking page, questions, contact, blog and similar pages) use analytics and advertising cookies and similar tools from Google (Google Analytics and Google Ads) and Meta (the Meta pixel) to count visits and measure advertising. We do not run these on your private booking, quote or gift links, or on the staff and agent areas. When a booking is paid, we send these tools the booking number and the amount, and nothing that identifies you. The first time you visit, a notice asks you to choose. Choose "No thanks" and these tools do not run. We remember your choice in a cookie named tat_analytics for 12 months. You can also block these cookies in your browser settings, or use the opt-out tools Google and Meta provide. Meta's "automatic advanced matching" is switched off, so the pixel cannot read the email address or phone number you type on the booking page. Office staff and real estate agents who sign in to their own areas receive sign-in cookies from our sign-in provider, Supabase. Our payment form is run by Stripe, which sets its own cookies to prevent fraud. # How long we keep information We keep information only as long as we need it: - Signed agreements, and payment and tax records: 7 years. - Delivery and pickup photos: 1 year. - Records of the emails and texts we send: 2 years. - Quote requests, contact messages and ZIP-code waitlist emails: 1 year. - The log of staff actions in our system: 2 years. # Your choices You can reply STOP to texts at any time. You can ask us to see, correct or delete the personal information we hold about you by contacting us at info@bookatote.com. We will answer within 45 days. If we cannot do what you ask, we will tell you why, and you can reply to ask us to look at it again. We may need to keep some records, such as signed agreements and payment records, for legal and tax reasons or to handle a dispute. # Your private booking link Your booking page link works like a key: anyone who has it can see and change that booking. Please do not share it. If you think it has been shared, contact us and we will replace it. # If your information is exposed If we learn that your personal information was exposed in a way the law requires us to tell you about, we will notify you as required by Kentucky law. # Security We use secure connections, keep card handling with Stripe, require office staff to sign in with a second step, and limit what each person at Take a Tote and each service provider can see. No method of storing or sending information is perfectly secure, so we cannot promise absolute security. # Children Our service is for adults. We do not knowingly collect information from children. # Changes If we change this policy we will post the new version here with a new date. # Contact us Book a Tote LLC, Lexington, Kentucky.
